HİLFUL FUDUL FOUNDATION RESPONSIBILITIES

In addition to our legal responsibilities, we take great care to fulfill the following obligations on behalf of the foundation toward all individuals and groups we interact with — including our employees, donors, suppliers and business partners, solution partners, society, humanity, and other non-governmental organizations.

  1. Our Legal Responsibilities

We conduct all our domestic and international activities and operations within the framework of the laws of the United States and international law, providing accurate, complete, and comprehensible information to legal regulatory bodies and authorities in a timely manner.

While carrying out all our activities and operations, we maintain an equal distance from all public institutions and organizations, administrative bodies, non-governmental organizations, and political parties, without any expectation of benefit, and we fulfill our obligations with full awareness of this responsibility.

  1. Our Responsibilities Toward Our Members

We operate with a member satisfaction–oriented, proactive approach that responds to the needs and requests of our members as quickly and accurately as possible. We deliver our services on time and under the promised conditions, treating our members with respect, dignity, fairness, equality, and courtesy.

  1. Our Responsibilities Toward Our Employees

We ensure that our employees fully and correctly exercise their personal and professional rights. We treat all employees with honesty and fairness, committing to a non-discriminatory, safe, and healthy working environment. We make every effort to support their individual development, encourage their voluntary participation in suitable social and community activities with a sense of social responsibility, and maintain a balance between their professional and personal lives.

  1. Our Responsibilities Toward Our Trustees

By prioritizing the continuity of the Foundation and aiming to add value to it, we avoid taking unnecessary or unmanageable risks and focus on achieving sustainable benefits. We act within the framework of financial discipline and accountability, managing the Foundation’s resources, assets, and our working time with efficiency and a sense of prudence. In our public disclosures and communications with our Trustees, we provide timely, accurate, complete, and comprehensible information regarding our financial statements, strategies, and projects.

  1. Our Responsibilities Toward Our Suppliers and Solution Partners

We act fairly and respectfully, as expected of a good client, and exercise due diligence to fulfill our obligations on time. We carefully protect the confidential information of the individuals, organizations, and business partners we work with.

  1. Our Responsibilities Toward Society and Humanity

The protection of democracy, human rights, and the environment — as well as the promotion of education, philanthropy, and the eradication of crime and corruption — are of great importance to us. With an awareness of being responsible citizens, we act as pioneers in social matters and strive to take part in non-governmental organizations, public-benefit services, and other appropriate social initiatives. We act with sensitivity toward the traditions and cultures of the United States and the countries where we implement international projects. We do not offer or accept bribes, nor do we give or receive gifts, products, or services of excessive or inappropriate value.

  1. Our Responsibilities Toward the Public

In line with our principle of transparency, we provide our donors with reliable information about the Foundation’s governance, financial, and legal status in a timely, accurate, complete, clear, analyzable, and easily accessible manner, while also protecting the Foundation’s rights and interests. Even if the information to be disclosed may result in unfavorable outcomes for our Foundation, we never hesitate to share what must be made public.

İş Sağlığı ve İş Güvenliği; Hilful Fudul Vakfı Çalışanları, İş Sağlığı ve Güvenliği ile ilgili olarak yasalara, diğer hukuksal düzenlemeler ile prosedürlere, işyeri güvenliği ve çalışanların sağlığını korumak amacıyla alınan önlemlere uymakla yükümlü olduklarını bilerek tüm faaliyet ve çalışmalarını bu bilinç ve yükümlülük ile hareket eder.

  1. Employee Responsibilities

The policies and procedures related to the Foundation clearly define how we should act and perform our duties. Compliance with these rules is the fundamental responsibility of all employees. In this context, all Foundation employees are expected to:

  1. Act in compliance with all applicable laws and regulations under all circumstances,
  2. Read, understand, internalize, and adhere to the Foundation’s documents and ethical principles, as well as the rules, values, and standards contained within them,
  3. Learn and follow the general and specific policies and procedures applicable to their work and the Foundation,
  4. Consult their supervisor regarding potential violations involving themselves or others,
  5. Promptly report any actual or potential violations—personally or anonymously—to their supervisor, Human Resources, and/or the Ethics Committee in writing or verbally,
  6. Cooperate with the Ethics Committee during ethical investigations and maintain the confidentiality of all related information.

  1. Additional Responsibilities of Managers

In addition to the responsibilities defined for all employees, managers of the Hilful Fudul Foundation have additional duties. Accordingly, managers must:

  2. Encouraging employees to raise questions, complaints, and reports related to ethical rules,
  3. Providing guidance when consulted, considering all reports, and promptly forwarding them to the Ethics Committee when necessary,
  4. Structuring work processes under their responsibility to minimize ethical risks, and implementing necessary methods and approaches to ensure compliance with ethical standards.

 

 

  1. Additional Responsibilities of the Ethics Committee

Ethics Committee Advisors:

  1. Providing guidance and consultancy on ethical questions and issues raised by employees within the Foundation,
  2. Referring unresolved or investigable ethical violations within the Foundation to the Ethics Committee,
  3. Contributing to the resolution of internal ethical violations upon the request of the Ethics Committee,
  4. Regularly or upon request, reporting all received ethical issues and their outcomes to the Ethics Committee,
  5. Monitoring and following up on the effectiveness of ethical practices within the Foundation and supporting their implementation.
  6. Resolution of Non-Compliance with Ethical Rules

Individuals who violate the Foundation’s Ethical Rules or its Policies and Procedures will be subject to various disciplinary actions, which may include termination of employment if necessary. These disciplinary measures will also apply to those who approve, encourage, or have knowledge of non-compliant behaviors or actions but fail to report them appropriately.

  1. Ethics Committee

The Ethics Committee is responsible for investigating and resolving complaints and reports regarding violations of the Foundation’s Ethical Rules. Reporting directly to the Chairperson of the Hilful Fudul Foundation’s Board of Directors, the Ethics Committee is composed of individuals holding the following positions:

Member – Executives, Employees, and Members of the Hilful Fudul Foundation

The Hilful Fudul Foundation Ethics Committee carries out its activities within the framework of the following principles:

  1. It keeps the identity of those who make notifications and complaints confidential.
  2. It conducts investigations as confidentially as possible.
  3. Soruşturma ile ilgili bilgi, belge ve delili doğrudan doğruya mevcut olan birimden talep yetkisine sahiptir. Elde ettiği her türlü bilgi ve belgeyi sadece soruşturma konusu ile sınırlı olarak inceleyebilir.
  4. The investigation process is documented in writing from the beginning. All information, evidence, and documents are attached to the record.
  5. The report is signed by the chairperson and the member.
  6. The investigation is handled urgently, and results are reached as quickly as possible.
  7. Decisions made by the Committee are implemented immediately.
  8. Relevant departments and authorities are informed of the results.
  9. The chairperson and members of the Committee perform their duties regarding this matter independently and without influence from their respective department heads or the organizational hierarchy. No pressure or persuasion may be exerted on them concerning the issue.
  10. The Committee may, when deemed necessary, seek expert opinions and may consult specialists during the investigation, provided that confidentiality principles are strictly maintained.
  11. Sensitivity to Complaints

We promptly and accurately direct all complaints related to Hilful Fudul Foundation’s products, services, and projects to the appropriate channels. Any serious or extraordinary complaint that could affect the Foundation’s reputation is immediately reported to the Foundation Director, Committee/Commission Chairs, or the Board of Directors.

  1. Expert Witness

We act with the awareness that any duty entrusted to the Hilful Fudul Foundation takes precedence over personal or private interests, and we fulfill our responsibilities with integrity. We acknowledge our obligation to inform the assigning authority if our expertise or experience is insufficient for the assigned task, if the matter falls outside our area of specialization, or if there are legitimate reasons to decline the assignment. We do not use any official or confidential information obtained during our duties for personal gain, for the benefit of relatives, or for third parties, either directly or indirectly. If we are requested to engage in unethical or unlawful acts, or if we become aware of such conduct during the performance of our duties, we are obliged to promptly report the matter to the assigning authority.

  1. Impartiality

We act in line with the ideals of service of the Hilful Fudul Foundation, guided by the principles of legality, justice, responsibility, equality, and integrity for the welfare of society. We exercise discretion in accordance with public interest and service requirements, maintaining impartiality and equality while remaining independent of any ideology or political view. We do not use the name, resources, or position of the Foundation to make political or ideological statements, participate in related activities, or promote any political party. While performing our duties and delivering our services, we do not discriminate based on language, religion, philosophical belief, political opinion, race, gender, or similar grounds. We report any observations or complaints regarding such matters directly to the Ethics Committee without restriction.
